Oceanport PTO
President: The President shall preside at all meetings of the Organization and the Executive Board, and shall perform such duties as may be prescribed in these By-Laws or assigned by the Organization by the Executive Board and shall coordinate the work of the officers and Committees of the Organization. Responsibilities include oversight of the Special Grants Committee and the Hospitality Committee.
Vice President of Fundraising: Chairperson of fundraising. Responsibilities include oversight of various fundraisers, book fairs, variety shows, and the Promotional Committee. In the absence of the PTO President from any meetings, the VP of Fundraising shall preside over the meeting and present any updates on behalf of the President.
Vice President of Membership: Chairperson of membership and volunteer activities. Responsibilities include (but are not limited to) serving as webmaster for the PTO website and socials, (including adherence to social media standards and maintenance of the directory and its accompanying database,) and liaison to the Library Committee and the Classroom Parent Committee. Coordinates requests for student volunteers for events.
Vice President of Programs: Chairperson of programs. Responsibilities include (but are not limited to) the Cultural Arts Committee, family nights, and the Value Development Committee. Liaison to Fall Fest Chair.
Recording Secretary: The Recording Secretary shall record the minutes of the Organization and of the Executive Board. The Recording Secretary shall be responsible for the By-Laws of the Organization, including chairing their 5 year evaluation, as well as maintaining the charter and all records associated with the Organization. The Recording Secretary is responsible for coordinating and submitting all District building use requests. In the event an Exec Board member is absent from a meeting, the Recording Secretary shall present their update to the Board.
Corresponding Secretary: The Corresponding Secretary shall conduct the correspondence of the Organization as directed by the President, the Executive Board, or the Organization. The Corresponding Secretary’s responsibilities will include oversight of the Sunshine Committee, sending of thank you notes to all sponsors and vendors, and regular updates to school admins in time with their weekly updates. Absent the Recording Secretary, the Corresponding Secretary shall record minutes and present any necessary updates.
Treasurer
Chair of the Budget Committee. The Treasurer shall:
Receive all monies of the Organization. Shall keep an accurate record of receipts and expenditures. Shall pay out funds in such a manner as authorized by the budget.
Present a financial statement of accounts at every general meeting of the Organization and at the Executive Board meetings.
Have the Treasurer’s account examined annually by an auditor appointed by the Executive Board.
Complete the annual reporting process.
Be responsible for obtaining and maintaining insurance policies.
Be bonded.
